How do I share a project with a client?

The share button on the project header, or the share action on a task, opens the same modal for both. Turn the link on and copy the URL.

Whoever opens it needs no account and can change nothing. It is a window, not a door. Esc closes the share modal once you have the link.

Sharing a project with a client

Four steps, and the one worth slowing down for is the third.

  1. Open the project and press Share.

    The button is in the project header. The same modal handles a single task, from the share action on its row.

  2. Turn the link on.

    The toggles are greyed out until you do, because there is nothing to configure until a link exists. Enabling creates it with whatever the toggles currently say.

  3. Set an expiry before you copy anything.

    Never, 24 hours, 7 days or 30 days. A link with no expiry works until you revoke it and travels wherever it is forwarded, so pick a window if you would not want it reshared.

  4. Copy the URL and send it.

    Whoever opens it needs no account and can change nothing. Change a toggle later and the same link updates, so you never have to send a second one.

What can I control?

The toggles are live, so changing one updates the existing link immediately rather than minting a new one.

  • On a project: whether completed tasks are included, and whether descriptions are shown.
  • On a task: whether the description is shown.
  • Expiry: never, 24 hours, 7 days, or 30 days.

Watch out

A link with no expiry works until you revoke it, and anyone it is forwarded to can open it. Set an expiry for anything you would not want reshared.

How do I turn a link off?

Revoke it from the same modal and the URL stops working immediately. There is no grace period and no cached copy to worry about.

Should I share a link or invite them?

A share link is for someone who needs to look: a client checking progress, a stakeholder who will never log in.

If you want them to actually take part, invite them as a Guest instead. A Guest is still read-only, but they are a real member scoped to the projects you choose, they get a login, and you can see who they are. See roles.
